Job Duties:
POSITION SUMMARY:
This position provides primary administrative assistance and program support for the Director of Residence Life and program support for the Assistant Director - Residential Operations, in addition to serving as secondary support for the University Services Program Associate and the University Service Associate in Room Assignments.
Percentages are based on a 100% of a HALF-TIME position (.5FTE)
50% A. Administer the student payroll for approximately 300 hourly and salaried students employed by Residence Life
A1: Serve as department specialist in all student employment matters. Articulate and interpret procedures and policies related to student employment and serve as a resource for the Office of Residence Life. Coordinate preparation, maintenance, and distribution of the Residence Life "Student Employment Manual." Facilitate training of supervisors regarding the payroll process. Serve as secondary payroll support for the Residence Life maintenance operations.
A2: Coordinate employment procedures. Administer/verify I-9 certification and ensure that student employees complete W-4/direct deposit/background check or other relevant forms. Utilize the University's computerized hiring/payroll system to verify employment eligibility for new student employees, process hires, raises, changes, and terminations as necessary.
A3: Coordinate the biweekly payroll process. Investigate and solve problems related to the payroll process by coordinating communication between the Personnel Office, Financial Aid Office, student employee supervisors, and students.
A4: Manage payroll records. Oversee the creation and maintenance of the payroll data entry and record keeping systems. Independently develop and maintain an accurate historical employment record for use with audits, budget planning and revision, etc. Verify payroll and employment records for all student employees as requested by prospective employers, financial institutions, etc.
25% B. Room Assignments responsibilities
B1: Assist with filing student files in Room Assignments
B2: Assist with the general clerical duties of the Room Assignments Office (as needed).
B3: Fill in for other administrative staffing roles as needed
15% C. Provide administrative assistance and program support for the Assistant Director Residential Operations
C1: Perform general activities, special duties, responsibilities and projects as assigned by the Assistant Director - Residential Operations
C2: Independently prepare letters, memoranda, reports and other written projects as requested.
C3: Provide support for Summer Camps and Conference billing operations.
C4: Assist other office staff with duties at peak times as requested.
C5: Fill in for other administrative staffing roles as needed
10% D. Provide administrative assistance and program support for the Director of Residence Life
D1: Assist with general activities and projects for the Director.
D2: Coordinate the scheduling of meetings and appointments and maintain outlook calendar.
D3: Provide administrative support to departmental search and screen committees (as requested).
D4: Assist other campus staff with housing related questions or requests.
D5: Perform other special duties/responsibilities as assigned by the Director of Residence Life.
D6: Fill in for other administrative staffing roles as needed.

Knowledge of accounting principles, practices, and methods.
Skilled in using Microsoft Office, (ie: Word, Excel, Outlook Calendar and Powerpoint).
Knowledge of Peoplesoft and Peachtree processes and student accounts preferred.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
